2. What Data We Collect

2.1 Documents you upload

When you upload a document for analysis, the file is temporarily stored on our servers for processing. Uploaded files are automatically deleted after 7 days.

2.2 Analysis results

AI-generated analysis results are stored for 30 days to allow you to retrieve your reports. You can delete them at any time using the “Delete all my data” feature.

2.3 Device identifier

We generate an anonymous identifier based on your browser or device characteristics to maintain your session and credit balance. This identifier is stored locally on your device and is not linked to your name or contact details.

2.4 Usage analytics

We collect anonymised data about how you use DocClarity AI (such as which features you use, which languages you select, and how long analyses take). This data does not include the content of your documents.

2.5 Technical data

Standard technical data including IP address, browser type, device type, and operating system may be collected by our hosting and analytics providers.

3. Why We Collect Your Data

We collect and process your data for the following purposes:

1. To provide the document analysis service
2. To maintain your credit balance across sessions
3. To improve DocClarity AI based on usage patterns
4. To ensure the security and performance of the service
5. To comply with legal obligations

4. How Your Documents Are Processed

When you submit a document for analysis, its content is transmitted to Google LLC (USA) for AI processing using their Gemini AI models (primary provider). If Gemini is unavailable, processing falls back to Anthropic PBC (USA) using their Claude AI models.

Important: AI providers process your document content solely to generate the analysis results you requested. Neither Google nor Anthropic uses your document content for AI training purposes under their respective API terms.

We recommend you do not upload documents containing highly sensitive personal data (such as national identification numbers, banking credentials, or medical records) unless necessary for your analysis purpose.

5. Who We Share Your Data With

We do not sell your personal data to any third party.

We share data only with the following service providers who process data on our behalf:

Each provider is contractually bound to protect your data and process it only for the stated purpose.

6. Cross-Border Data Transfer

Orchestrix AI LLC is incorporated in the United States and operates its services from within the United States. When you use DocClarity AI, your personal data is processed in the United States by Orchestrix AI LLC and the service providers listed in Section 5.

By using DocClarity AI, you consent to this transfer and processing. Applicable protections by jurisdiction:

• Malaysia: This consent satisfies the cross-border transfer requirement under Section 129 of the Personal Data Protection Act 2010. Your rights under PDPA remain fully applicable.
• European Union: Where EU data protection law applies, your rights under the General Data Protection Regulation (GDPR) are not affected.
• Other jurisdictions: Your rights under applicable local data protection laws remain unaffected.

All service providers are contractually bound to protect your data through appropriate technical and organisational safeguards.

7. Data Retention

We retain your data for the following periods:

8. Your Rights Under PDPA 2010

Under Malaysia's Personal Data Protection Act 2010, you have the following rights:

Right of access

You may request a copy of the personal data we hold about you.

Right of correction

You may request correction of inaccurate personal data.

Right to withdraw consent

You may withdraw your consent to data processing at any time. This will not affect the lawfulness of processing before withdrawal.

Right of erasure

You may delete all your data at any time using the “Delete all my data” button in the app, or by contacting us at hello@orchestrixstudio.com.

Right to limit processing

You may decline analytics tracking using the cookie consent settings.

9. Cookies and Analytics

9.1 Analytics cookies (require your consent)

We use Google Analytics 4 and PostHog to understand how users interact with DocClarity AI. These tools collect anonymised behavioural data such as:

• Pages visited and features used
• Languages selected
• General location (country/region level)
• Device type and browser

Document content is NEVER included in analytics data.

You can decline analytics cookies using the consent banner shown on your first visit. You can change your preference at any time in the Data & Privacy section.

9.2 Essential data (no consent required)

Your device identifier and credit balance are stored locally on your device and are essential for the service to function. These are not cookies and are not shared with third parties.

10. Children's Privacy

DocClarity AI is not directed at children under 18 years of age. We do not knowingly collect personal data from children. If you believe a child has provided personal data, please contact us at hello@orchestrixstudio.com and we will delete it.

11. Security

We implement appropriate technical and organisational measures to protect your personal data, including:

• Encrypted data transmission (HTTPS/TLS)
• Encrypted data storage
• Automatic data deletion after retention periods
• Access controls limiting who can access your data

No method of transmission or storage is 100% secure. We cannot guarantee absolute security.

12. Changes to This Policy

We may update this privacy policy from time to time. We will notify users of significant changes by displaying a notice in the application. The “last updated” date at the top of this policy will always reflect the most recent version.
